Chemistry IT

In order for us to help you with your computer, other IT equipment, and software installations, we need to limit ourselves to certain standard models. As a government agency, we are also required to comply with laws and regulations. This means that we cannot use any programs as data can be stored on servers in third countries.

Purchase of IT equipment

Please contact the IT coordinator when you need to purchase new IT equipment, such as computers, monitors, computer accessories, tablets, printers, and copiers. We do not have the ability to provide support for all different brands and models. Prices can be found in LUPIN.

Installation - operating system

Windows - pc.lu.se

To facilitate for you and create a secure and sustainable maintenance and storage, we use Lund University's central solution pc.lu.se, which is free of charge.

The system pc.lu.se manages Windows computers by creating a connection to a central server that ensures you receive automatic security updates. You can also download apps and back up your home directory through pc.lu.se.

You can log in to pc.lu.se from any computer and always access your data. If your computer is stolen, you can immediately continue working from one of our loan computers. You can also work offline. Your files will sync when you reconnect to the network.

If you need administrative privileges for your computer, you can still obtain them when using pc.lu.se.

More information is available on the pc.lu.se website.

The IT coordinator can install pc.lu.se on your current computer.

New computers will have this system from the beginning.

To become a local administrator on a computer connected to "pc.lu.se", you must have applied for authorization in Lucat and obtained two-factor authentication. You only need to do this once, and it applies to all pc.lu.se computers.

Guide for Local Administrator - LU Support

Please note that it may take some time for your application to be approved! It is only after it is approved that you can use "Make me admin" to become an administrator.

mac.lu.se

mac.lu.se or LUmac is the name of a system that manages Mac computers at Lund University.

The system manages regular Mac computers by having a connection to a central server that provides automatic security updates, offers a "Self Service" where one can download more applications, and backs up home directories.

The IT coordinator can install mac.lu.se on your current computer.

New computers will have this system from the beginning.

For mac.lu.se, the "Device Enrollment Program" (abbreviated DEP) is used to connect Macs to the system. DEP means that the supplier registers the computer's serial number as belonging to Lund University. (LU has a so-called DEP ID that is saved with the computer's serial number in a database.)

All new computers are DEP-registered at the time of purchase according to a routine agreed upon with our purchasers. If an older computer needs to be connected to mac.lu.se, this is done by contacting the original supplier and asking them to do a retroactive DEP registration.

During reinstallation, the Mac will detect that it has a DEP registration and will be configured to connect to mac.lu.se. This reinstallation is done by the IT coordinator.

To become a local administrator on a computer connected to "mac.lu.se", you must have applied for authorization in Lucat. You only need to do this once, and it applies to all mac.lu.se computers.

Apply for authorization in Lucat

  1. Go to https://lucat.lu.se.
  2. Log in with your Lucat ID.
  3. Click on "My authorizations" and then "Apply for authorization".
  4. Choose "IT service", then "Infrastructure", "Lumac.lu.se" and "Local administrator".
  5. The application has now been made.

Become a local administrator

  1. Start the program "Self Service".
  2. Click on "Log In" and enter your Lucat ID and password.
  3. Click on "Self-help" in the left menu.
  4. Run "Make me admin".
  5. You are now part of the administrator group for 15-20 minutes.

Installation - programs

Some programs have a license for Lund University, called a site license. Other programs require their own license. First check if the program you need is included in the site license.

Common programs that do not have a site license are Adobe programs, SPSS, and SAS. For Adobe programs, there are several good alternative programs such as PDF XChange and Affinity programs. You can download them yourself from LDC's program mediation.

You can also download programs with site licenses from the Software Center, Microsoft Office, and AppsAnywhere. Below you can see how to find them and which programs you can download.

On a pc.lu.se computer, you can download programs through the Software center. On the pc.lu.se website, you can see which programs are available in the Software center and which ones are pre-installed on a pc.lu.se computer.

You can find the Software center under "Microsoft System Center" in the start menu. It may be useful to pin it to the taskbar.

Scroll through the list or use the search field to find the app you want. Click on the icon for more information and then the "Install" button.

Go to the Microsoft Office website and log in with your Lucat-ID [at] lu [dot] se as your username. Then you will be directed to a page where you log in with your Lucat-ID as usual. On the website, you will find many office applications that you can either download to your computer or use via the web browser.

At the LTH website, you can download Matlab, Comsol, and Maple. Log in with your Lucat ID.

At LDC, you will find programs such as Affinity designer, Affinity photo, Affinity publisher, Windows 10, LabView, Pausit, PDF Xchange Pro, and TorTalk.

Through the AppsAnywhere's program portal, students and employees who use Windows can download programs. Many programs can be accessed from both a personal computer, an employee computer, or a computer in a computer room. Some programs can only be accessed from a computer room due to licensing reasons. Outside of LU's network, you usually need to have VPN (Virtual Private Network) to access the programs.

On AppsAnywhere, you log in with your Lucat ID. If you are using a pc.lu.se computer, you start the Software center and first install the AppsAnywhere client.

Storage

It is important that all your data is stored on servers and not just on your computer, in case it gets damaged or stolen. The data should also be encrypted so that unauthorized individuals cannot access it. If you have your data in a cloud service, you can access them directly when you change computers.

For those using pc.lu.se, files are stored by default in WorkFolders (max 100 GB), OneDrive (max 5000 GB), and LUBox (max 20 GB). Even if you do not use pc.lu.se, you can still use these services. OneDrive and LUBox work on both Mac and Windows, while WorkFolders only works on Windows. Through many of the storage services, you can also share files with other users.

WorkFolders is Microsoft's system for managing document synchronization between a local computer and a server. You can create and edit documents just like usual on your computer; a sync service runs in the background and copies changes to a server. When you log in to another computer, the files are copied down from the server. This means you can work with your documents from any computer. There is a specific app available for mobile phones.

Since you always work with documents locally, there is no delay due to network speed. If you disconnect from the network, you can continue as usual (when you reconnect to the network, the sync service will start again.)

Guide to WorkFolders - LU Support

There are four icons indicating the status of the files.

  • A cloud means that you can only access the file when the computer is online
  • Two arrows in a circle indicate that the file is currently being synchronized
  • A filled green circle with a check mark means that the file is always available on your computer
  • An unfilled green circle with a check mark means that the file is available on your computer, but the computer can remove it if space is needed for something else

You can control different access to different folders in WorkFolders. To save space on your computer, we recommend using "On Demand File Access." This allows Windows to control which files are available locally on your computer.

You log in to OneDrive with your Lucat-id [at] lu [dot] se. More information about OneDrive is available on Microsoft's website.

OneDrive works on both Mac OS X, Windows, tablets, and phones. In OneDrive, you can store, access, edit, and sync documents. You can also share and collaborate on documents with others. OneDrive works entirely in the cloud.

Do not sync all files, as there is a risk that your hard drive will quickly fill up! Contact LDC's Servicedesk if you need more than the 1 TB of storage space that is standard in OneDrive. There is no limit on the available space you can get. Four icons indicate the status of the files - see the information under WorkFolders above.

There is a version history so that you can restore older versions of documents if needed. OneDrive saves the latest 100 files, and you can restore files that are not older than 93 days from the trash. You can also restore the entire contents up to 30 days ago if a major problem has occurred.

Log in to Teams with your Lucat ID [at] lu [dot] se. Teams works on both Mac OS X and Windows. In Teams, you can store, share, and collaborate on files. You can also chat, call, and have video meetings in Teams. The storage space in Teams is 25 TB and Teams has version control for the latest 100 versions of a file. You can access Teams through your web browser or through an app you download to your computer and/or phone.

You log in to LUBox with your Lucat ID. LUBox works on both Mac OS X and Windows. You can store, share, and collaborate on files and sync them to your computer. You can also access LUBox through an app on your phone or tablet. You can share your files with people both within and outside of Lund University. You have 20 GB of storage space in your LUBox.

FAQ

DEP is short for "Device Enrollment Program" and means that the supplier registers the serial number of the computer at Lund University. The computer can then easily be added to the systems we have already before it arrives. These systems handle backup, security, etc. DEP is also a type of theft protection, as the computer can only be installed if one has a Lucat account.

All employees at LU have a license for Microsoft Office. Use lucat.lu.se to login, either in the program or at https://portal.office.com/. You can be logged in to Office on up to five devices.
